When does P3 Security collect and process personal data?
If you have provided us with personal data, we will only use it to answer your inquiries, to process contracts concluded with us and for technical administration. Your personal data will only be passed on to third parties or otherwise transmitted if this is necessary for the purpose of processing the contract, if this is necessary for billing purposes, or if you have given your prior consent. You have the right to revoke your consent at any time with effect for the future. Stored personal data will be deleted if you withdraw your consent to its storage, if knowledge of it is no longer required to fulfill the purpose for which it was stored or if its storage is inadmissible for other legal reasons. P3 Security collects and processes your personal data in the following cases, among others:
- If you contact us directly, e.g. via our website, via our hotline, and you are interested in our products or services or have another request.
- When you buy services directly from us
- If you request information about our products and services (e.g. transmission of brochures).
- When you respond to our direct marketing activities, e.g. when you fill in a reply card or when you submit your data online on our website.
- If your personal data is transmitted to us by third parties, if and insofar as the necessary data protection requirements are met, e.g. your consent has been given or you have not objected to the transfer of your data to P3 Security for the purpose of customer service and written contact in the knowledge of a right of objection.
- If you have sent us your applicant data as part of the application process.
- If our business partners permissibly provide us with data about you and
- if third parties (e.g. certified address providers) permissibly provide us with personal data about you.

What data do we collect from you?

Leadfeeder
We also use the Leadfeeder service from Liidio Oy, Mikonkatu 17, 0100 Helsinki, Finland. Leadfeeder uses our Google Analytics data. The IP addresses provided by Google are used to link the collected data to companies that can be found on the Internet under these IP addresses. The IP addresses are already abbreviated by Google Analytics, whereby a personal assignment is not possible. However, a personal reference may result from the review of the linked information. Data that we receive through Leadfeeder are the company name, the pages accessed, the time of the visit, the reverse domain of the IP address, the referring page, application or service, including the corresponding search queries that led you to our website, browser data and the operating system used.

For what purposes do we collect your data?
It is unavoidable that data that your browser transmits to us is automatically stored in the server statistics. These are browser type and browser version, the operating system used, the referrer URL (the previously visited page), the host name of the accessing computer (IP address) and the time of the server request. This storage is for internal system-related and statistical purposes only. Further personal data is only collected if you provide this information voluntarily, for example as part of an inquiry or application. As a rule, we are unable to assign the above-mentioned data to specific persons and do not merge this data with other data sources. The data collected in connection with the use of the website, the conclusion of a contract or the provision of services is processed for the following purposes:
1. ordering brochures, use of the contact form (Art. 6 para. 1 lit. b) GDPR)
On some pages of our website, you have the option of contacting us, ordering brochures or requesting quotations. We indicate on the relevant pages which data we collect for the respective request. In general, we only collect the data that is required for the respective purpose. For example, if you would like to receive our company brochure by post, we ask you to provide your first name and surname together with your postal address. Without this information, we would not be able to send you the requested publication addressed to you personally.
2. customer service (Art. 6 para. 1 lit. b, f) GDPR)
P3 Security uses your personal data to contact you in the context of contract processing (see above) or to process a request formulated by you (e.g. requests for brochures, quotations, inquiries and complaints to P3 Security customer service). For all aspects of contract processing or the processing of a request, we will contact you without separate consent, e.g. in writing, by telephone or by e-mail, depending on the contact details you have provided. We will also contact you in carefully considered cases with advertising communication if and insofar as the necessary data protection requirements are met and you have not objected to the use of your data for the purpose of written contact in the knowledge of a right to object.
3. advertising communication and market research based on consent (Art. 6 para. 1 lit. a) GDPR)
If you have separately given your consent to further use of your personal data, your personal data may be used by P3 Security in accordance with the scope described in the consent, for example for advertising purposes (selected offers for P3 Security products and services) and/or market research. Details on this can be found in the respective declaration of consent, which you can revoke at any time. If you have given your consent to promotional communication, P3 Security collects and processes your personal data:
- Contact information, e.g. name, address, e-mail, telephone number
- Additional personal details / preferences, e.g. company name,
- A possible time when you need a service and your interest in P3 Security services as well as your requests for information etc.
- Status of your data protection declaration of consent and selected or preferred communication channel
- Identification data, e.g. employee number, customer number, contract number
- Customer history, e.g.
- Service used incl. order date, offer price
- Campaign history and response, e.g. customer and prospect care programs and direct marketing measures
- Participation in events
- Inquiry and complaint history with P3 Security customer support
P3 Security uses the sales and customer service information collected in this way to:
- determine which information and offers are most likely to be of interest to you and to
- Contacting you in connection with this information and offers and for the purpose of
- promotional communication about P3 Security products and services in accordance with your data protection declaration of consent.
In the data protection declaration of consent, you also determine the communication channels (e.g. post, telephone, e-mail) through which we may contact you. Data processing for advertising purposes generally takes place in Germany; under no circumstances will personal data be transferred to a country outside the EU.
4. data transfer to selected third parties:
Data is forwarded to the following companies, among others, if and insofar as the necessary data protection requirements are met: To carefully selected and checked service providers and business partners with whom we work in order to be able to offer you products and services. We only do this for P3 Security within the framework of the strict requirements of data processing on behalf of or on the basis of your express consent. In the event of the sale of one or more business areas of P3 Security to a company to which we transfer our rights, in compliance with any existing agreements with you. To other third parties (e.g. public authorities) insofar as we are legally obliged to do so.
5. fulfillment of legal obligations to which P3 Security is subject (Art. 6 para. 1 lit. c) GDPR)
We will also process personal data if there is a legal obligation to do so.
How long do we store your data?
We only store your personal data for as long as the respective purpose requires. If data is processed for several purposes, the data will be deleted or only stored in a form that cannot be traced back to you directly as soon as the last specified purpose has been fulfilled.
- Use to fulfill a contract To fulfill contractual obligations, data collected from you may be retained for as long as the contract is in force and, depending on the nature and scope of the contract, for 6 or 10 years beyond that to comply with legal retention obligations and to clarify any inquiries or claims after the contract has expired. In addition, there are contracts for the supply of products and services that require longer retention periods, see also “Use for checking claims” below.
- Use to investigate claims We may retain data that we believe may be necessary to investigate, defend or bring a criminal prosecution or claim against you, us or a third party for as long as such proceedings may be brought.
- Use for customer and applicant support and for marketing purposes For customer and applicant support and for marketing purposes, the data collected from you may be stored for 3 to 10 years after collection, unless you request the deletion of this data and there are no contractual or statutory retention obligations that conflict with this deletion request.
How is your data backed up?
We secure your data according to the state of the art. The following security measures are used as examples to protect your personal data from misuse or other unauthorized processing:
- Access to personal data is restricted to a limited number of authorized persons for the specified purposes.
- Collected data is only transmitted in encrypted form.
- Sensitive data is also only stored in encrypted form.
The IT systems for processing the data are technically isolated from other systems in order to prevent unauthorized access, e.g. through hacking.

Rights of data subjects
As a data subject affected by the processing of your data, you can assert certain rights against us in accordance with the GDPR and other relevant data protection regulations. Under the GDPR, you have the following rights in particular vis-à-vis P3 Security as a data subject: Right of access (Art. 15 GDPR): You can request information from us at any time about the data we hold about you. This information concerns, among other things, the categories of data processed by us, the purposes for which we process them, the origin of the data if we have not collected them directly from you and, if applicable, the recipients to whom we have transmitted your data. You can receive a copy of your data from us free of charge. If you are interested in further copies, we reserve the right to charge you for the additional copies. Right to rectification (Art. 16 GDPR): You can request that we rectify your data. We will take reasonable steps to keep the data we hold and process about you accurate, complete and up to date, based on the most recent information available to us. Right to erasure (Art. 17 GDPR): You can request that we erase your data, provided that the legal requirements for this are met. According to Art. 17 GDPR, this may be the case if, for example
- the data are no longer necessary for the purposes for which they were collected or otherwise processed;
- you withdraw your consent, which is the basis for the data processing, and there is no other legal basis for the processing.
- you object to the processing of your data and there are no overriding legitimate grounds for the processing, or you object to data processing for direct marketing purposes;
- the data has been processed unlawfully unless the processing is necessary,
- to ensure compliance with a legal obligation that requires us to process your data;
- in particular with regard to statutory retention periods;
- to assert, exercise or defend legal claims.
Right to restriction of processing (Art. 18 GDPR): You can demand that we restrict the processing of your data if
- you dispute the accuracy of the data for the period of time we need to verify the accuracy of the data;
- the processing is unlawful and you oppose the erasure of your data and request the restriction of their use instead;
- we no longer need your data, but you need it to assert, exercise or defend legal claims;
- you have objected to processing pending the verification whether our legitimate grounds override yours.
Right to data portability (Art. 20 GDPR): At your request, we will transfer your data – insofar as this is technically possible – to another controller. However, you are only entitled to this right if the data processing is based on your consent or is necessary to perform a contract. Instead of receiving a copy of your data, you can also ask us to transfer the data directly to another controller specified by you. Right to object (Art. 21 GDPR): You can object to the processing of your data at any time for reasons arising from your particular situation, provided that the data processing is based on your consent or on our legitimate interests or those of a third party. In this case, we will no longer process your data. The latter does not apply if we can demonstrate compelling legitimate grounds for the processing which override your interests or if we need your data for the establishment, exercise or defense of legal claims.
Deadlines for the fulfillment of data subject rights
We generally endeavor to respond to all requests within 30 days. However, this period may be extended for reasons relating to the specific data subject right or the complexity of your request.
Restriction of information in the fulfillment of data subject rights
In certain situations, we may not be able to provide you with information about all of your data due to legal requirements. If we have to refuse your request for information in such a case, we will also inform you of the reasons for the refusal.
Complaints to supervisory authorities
P3 Security takes your concerns and rights very seriously. However, if you believe that we have not adequately addressed your complaints or concerns, you have the right to lodge a complaint with your competent data protection authority.
